Custom AI automation

Every automation we build is designed for one company. Yours.

No templates. We map how your operation actually runs, then build automation shaped to your exact steps — accurate, running at any hour, without being reminded.

Why custom

You're not the average company.

Off-the-shelf automation solves the average company's problem. The part of your process worth automating is usually the part that is not standard.

Every business has its own exceptions. Generic tools ignore them — which is why they get bought, half-implemented, and quietly abandoned.

We build around the exceptions instead of pretending they aren't there. That is why the system is still running a year later.

You probably already know where it hurts.

If more than two of these are true, there is a system waiting to be built.

Someone re-types data that already exists in another system.

A process only runs correctly because one specific person remembers the steps.

Reports are assembled by hand on a recurring schedule.

Work sits idle in an inbox because nobody was watching it.

Approvals move by chasing people rather than by a queue.

You've hired for a role that is mostly coordination between tools.

Errors are found by customers before they are found internally.

Something breaks whenever one particular person takes leave.

Scope

Where the hours actually go.

Before building anything we count. These are the areas that come back highest, engagement after engagement.

Order & fulfilment operations

Intake, validation, routing, fulfilment sync, exception queues, returns, and reconciliation across every system.

Sales & CRM operations

Capture and enrichment, scoring and routing, CRM hygiene, quote generation, follow-up, and handoff to delivery.

Finance & administration

Invoice extraction, PO matching, expense classification, payment reminders, and reporting packs on schedule.

HR & onboarding

Applicant screening, interview scheduling, offer generation, onboarding across every system, and offboarding that actually revokes access.

Customer support

Ticket classification and routing, drafts from your own docs, SLA monitoring, and satisfaction follow-up.

Reporting & data

Scheduled extraction, transformation and validation. Alerts on thresholds, not dashboards nobody opens.

This is where we most often find hours, not a menu to order from. If your bottleneck isn't listed, that is what the audit is for.

Who we work with

Any industry. Any size.

The method transfers. Find the repeatable steps, build the system, monitor it. What changes between a manufacturer and a dental practice is the map, not the approach.

Size matters less than you would expect. A ten-person company with one badly manual process often sees a faster return than a large one.

How it's built

The stack, stated plainly.

No proprietary black box. Everything below is something you could audit, hire for, or take in-house later.

Workflow engine — n8n
Open, self-hostable and portable. We hand the whole system over — you can host and change it yourself.
Language models
Used where a step needs judgement rather than a rule — classification, extraction from unstructured documents, drafting, summarisation. We select the model per task on cost and accuracy, and build fallbacks so a provider outage doesn't stop your operation.
Custom services
When a step needs real code — heavy transforms, hard latency targets, integrations with no usable API.
Data layer
State, audit logs and retry queues. Workflows survive a restart; failed runs are recoverable, not lost.
Monitoring
Every workflow reports success, failure and duration. Failures alert a human. Silent failure is the expensive kind.
Engagement

Three ways in.

Start small and prove it, or hand over a whole function. The commitment scales with how much the results have earned.

Fixed fee

Process Audit

We map one process end to end. You get full documentation, a time-cost breakdown per step, and a prioritised plan. The map is yours either way.

Scoped per project

Build Engagement

We build, test, deploy and hand over with training. Fixed scope, fixed price, agreed before we start.

Monthly

Retained Partner

Ongoing capacity. We maintain what's running, adapt as you change, and work through the backlog.

Questions

Before you ask

The things people ask on a first call, answered here so the call can be about your work instead.

Will this replace people on my team?

It replaces tasks, not usually people. Most teams absorb far more volume at the same headcount. If your goal is headcount reduction, say so on the first call — it changes what we would build.

Our processes aren't documented anywhere.

They almost never are. Discovery exists precisely for that. We derive the map by observing the work, not by reading a manual that doesn't exist.

We're small. Is this worth it for us?

Often more so. A small team feels one automated process immediately, and there is less coordination overhead in getting it live. The audit will tell you honestly whether the numbers work — and if they don't, we'll say so.

Do we get locked into you?

No. Open tooling, documented as we build, your team trained at handover. You can host and change it yourself.

How long before something is live?

A few weeks after the audit for a single workflow. Larger programmes ship in sequence, not all at the end.

Can it run inside our own network?

Yes. Self-hosted deployment behind your firewall is standard for us.

What does it cost?

Audits are fixed fee. Builds are quoted against the scope the audit produces, so you see estimated hours saved before committing to build cost. We don't quote automation work before mapping the process — any number produced before that is a guess.

Free process audit

Tell us what's manual. We'll tell you what it costs you.

Forty minutes, no charge, no obligation. You leave with a written list of what can be automated in your business, in priority order, with an honest estimate against each one.

  • A prioritised list of automatable processes
  • An honest estimate of hours and cost saved
  • What we would build first, and why
